Our Canadian operation, Canaccord Genuity Corp., is currently looking for an energetic, organized and detail-oriented individual with exceptional multi-tasking and interpersonal skills to support our Lead Investment Advisor/Portfolio Manager, and Founder of our Team, based in Vancouver.

Responsibilities:
- Act as the main point of contact/ liaison among top executives, employees, UHNW clients, and other external partners;
- Provide day-to-day administrative support to the Lead Investment Advisor and team;
- Manage lead IA and team Outlook calendars, scheduling/ confirming meetings, and calls, responding to request for time and rescheduling and resolving and scheduling issues in a timely manner;
- Manage team phone lines and voicemail, assisting clients and potential prospects in a professional manner;
- Screens and refers calls to appropriate personnel; takes messages. Responds to highly diversified inquiries from employees, prospects, clients, and the general public;
- Provides courteous and efficient responses to phone and email inquiries determining from experience and training the limitations on the extent and type of information which may be provided;
- Coordinate business meetings in person and virtual, creating agendas, preparing any meeting materials and or presentations and scheduling the conference space required;
- Connecting meetings to the required technology (Zoom, Skype, PowerPoint, Microsoft Teams), facilitating refreshments/ meals and managing the budget for these meetings and /or conferences;
- Make domestic and international arrangements (flights, reservations, hotel bookings), assembles packets of information and prepares materials including itineraries;
- Receives, sort, distribute, open and screen incoming email, mail and faxes. Categorizes and prioritizes response needed. Follows up to ensure that proper and timely action is taken;
- Drafts and type non-routine letters, memos, documents, and various reports requiring knowledge of methods, procedures, policies and organization for IA signature;
- Develop suggestions to optimize office management and to solve problems in efficient, effective and highly organized manner;
- Organize internal communication٫ including such activities as information distribution and presentations scheduling;
- Manage, track and organize charitable/philanthropic projects and monthly donations;
- Manage processing expense reports in a timely, accurate and organized manner, tracking expenses, and preparing tax related documents for accountants, lawyers, and family offices;
- Estate planning administration– regularly have estate plan administration reviewed and updated as necessary;
- Manage bank accounts, pay bills, arrange wire transfers, deposit/mail cheques and monitor/ track transactions to ensure within budget and payments made on time;
- Regularly have insurance policies reviewed and contact insurer to update as necessary;
- Support IA with technology by troubleshooting issues with video, audio, and Apple products;
- Assist IA with tracking and ensure registration and compliance requirements are up-to-date, valid, compliant, organized and recorded;
- Assist with maintaining various databases (Salesforce, LastPass and Virtual Vault) and keep organized records/files for business and personal documents using Salesforce;
- Maintains Accurate records and files for easy and fast retrieval when information, passwords and files are requested;
- Medical, legal, and other personal appointments – book personal appointments, assist with personal billing items and tasks;
- Perform general administrative duties, coordinate lunches, coffees, team dinners, and setup client in-person meetings;
- Ensure office supplies and team has tools and supplies needed to perform at top level;
- Coordinate with support internal teams within CG and work with external vendors and suppliers;
- Assist with special projects as required.
Skills & Qualifications:
- Fully fluent in English;
- Able to legally work in Canada;
- Excellent verbal and written communication skills complemented by exceptional interpersonal skills;
- Ability to demonstrate a high level of discretion and handle highly confidential business matters with integrity;
- Ability to work independently on special assignments and maintains smooth operation of the office responsibilities of the executive;
- Detail-oriented with strong organizational capacity and high attention to detail, follow up, and communication;
- Ability to learn quickly and be proactive and plan ahead to resolve problems in a timely manner;
- Excellent prioritization skills with the ability to excel under pressure in a fast-paced growing team environment by multi-tasking;
- Experience arranging travel, meetings, catering, and general office organization;
- Excellent teamwork skills complemented by the ability to work well independently;
- Expert proficiency in Outlook, Microsoft Word, Excel and Adobe Acrobat;
- Advanced computer skills using PowerPoint, DocuSign and Zoom;
- Familiarity with commonly used business and technical expressions;
- Must have minimum 3 years’ experience working as an Executive Assistance to top executives;
- Ability to work remote from home and in office seamlessly;
- Technology knowledge with Apple software and troubleshooting issues with devices;
- Knowledge of Dataphile and Salesforce is an asset;
- Must work effectively in a team environment to jointly service clients, Desires to work within a winning team culture which is striving for excellence;
