POSITION SUMMARY:
The Office Administrator will be responsible for supporting company operations by maintaining office systems and supporting the daily operations of the local office and operations leadership team. Preference will be given to those candidates living in and around Acheson or Edmonton area.
LOCATION: 25963 - 111 Ave, Acheson, AB T7X 6C8
ESSENTIAL JOB FUNCTIONS:
- Greet visitors and direct them to the appropriate person
- Answer incoming phone calls in a prompt, polite, professional manner
- Organize offices and maintain reception area, lunchroom and storage rooms
- Type memos, correspondence, reports and other documents
- Collect, open, sort, stamp, distribute and process all incoming and outgoing mail or packages
- Maintain inventory and order office supplies; ensure new employees have supplies in their workspaces
- Provide support to field offices and operations with implementation of new process & procedures
- Provide support to field offices and operations with IT requests including but not limited to computer requests, and being first point of contact should IT support be required
- Contact vendors for maintenance related tasks (e.g. plumbing, lawn maintenance, electrical, etc.)
- Assist AP/AR teams with miscellaneous duties including, but not limited to:
§ Set up vendor requests; maintenance and update in Vista
§ Reconcile monthly purchase card statements
§ Invoice statement reviews; organizing vendor list
§ Update and maintain daily cash receipts in SharePoint
§ Other duties as required
- Assisting office staff with data entry and scanning /filing, as required
- Assist with special projects or project administration, as required
- Duties are subject to change based onMasTec, project and client needs
EDUCATION AND WORK EXPERIENCE REQUIREMENTS:
- Related experience and/or training or equivalent combination of education and experience in office administration
- Minimum 3 years of relevant office support experience
- Fluent with Microsoft suite including Office 365 and SharePoint
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
