Administrative Specialist Job at Nortrans Freight Management
What We’re Looking For
Nortrans is excited to announce that we're seeking a full-time Order Data Specialist to join our talented team of transportation and logistics experts. Reporting directly to the Logistics Manager, this individual will support Nortrans’ team of dispatchers by intaking customer orders and accurately building loads in Nortrans Transportation Management System (TMS), TruckMate.
In transportation, the delivery of one load often takes the collaboration of many different partners: the customer, the dispatcher, the driver etc. The Order Data Specialist plays a key role in this process and helps make it more efficient. This person should be an organized, detail-oriented individual who can both work independently and collaborate with Nortrans’ fast moving dispatch team. They will be responsible for tracking and prioritizing customer requests, and communicating with Nortrans’ dispatch team when a trip is ready to be executed.
We are looking for an individual who is based or is willing to relocate to the Okanagan Valley to work out of our Kelowna office. This role requires a level of in-person collaboration between the Order Data Specialist and the rest of the team.
A Day In The Life of The Order Data Specialist
- Intake customer orders through various channels: email, TMS, and phone. Build a strong knowledge of Nortrans’ customer base to understand the nuances and requirements of each customer request: type of freight, weight, volume, equipment required, destinations etc.
- Bring a customer-first approach and friendly attitude to work each day. Treat customers and partners like they’re good friends.
- Build loads (FTL, LTL, 3PL) through Nortrans’ TMS, TruckMate, ensuring each load is accurate and detailed. Empathize with your co-workers to understand that your work has an impact on several Nortrans teams downstream: dispatch and pricing & invoicing.
- Collaborate closely with Nortrans’ Account Coordinators to understand Nortrans’ pricing structure; price loads appropriately during the load building process
- Ensure all loads are accompanied by supporting documentation when necessary; arrange and distribute border documents, oversized load permits, ferry reservations etc.
- Identify process and procedure improvements within dispatch and between all Nortrans teams; embrace a mindset of continuous improvement
What You'll Bring To The Table
- 2+ years of relevant experience in an administrative role, focusing on operations or scheduling; Transportation and Logistics industry experiences is an asset
- Comfort with technology and the ability to learn new systems quickly; experience with TruckMate or a comparable TMS is an asset
- Highly organized and detail oriented; you don’t let things slip through the cracks
- The ability to collaborate and work closely with a fast-moving team, often working under pressure and customer-driven deadlines
- A mindset of continuous improvement; you're always thinking, "there must be a better way to do this!"
- Entrepreneurial spirit; self-starter and proactive
