Administrative Operations Assistant Job at York University

Purpose:
Reporting to the Manager, Building Operations, the Administrative Operations Assistant provides administrative and operational support to the Building Operations team. Committed to equity, diversity and inclusion, the Building Operations team is responsible for the effective and efficient operations of facilities maintenance and custodial operations. Though the main duties include, but are not limited to, payroll, record keeping, resident relations support, office coordination, accounts payable, budget support and room inspection and inventory coordination, while providing excellent customer service in a high-volume environment, this role supports the team.

Education:
College diploma with some relevant courses in administration, human resources, finance, accounting or business or an equivalent of 2 years recent experience (defined as within the last three years) working at York University and performing the same or similar tasks. This education equivalency is in addition to the experiential requirements outlined below.

Experience:
Two (2) years' recent related work experience providing administrative support including working with accounting, payroll, employee record keeping, financial accounting, and budgeting. Experience processing invoices and journal entries, budget monitoring and reconciliation and working with databases is required. Experience working in a property management or student housing environment is preferred. Experience working with an asset management software (e.g. Maximo) and housing management software (e.g. StarRez) is an asset.

Skills:
1. Demonstrated knowledge of computer applications including intermediate word processing (MS Word), intermediate spreadsheets (Excel), intermediate data management skills (Excel, E-Reports), E-mail (Outlook).2. Accurate keyboarding skills for data entry and processing.3. Demonstrated attention to detail and accuracy working with figures and information.4. Demonstrated ability to communicate clearly, concisely and effectively in written and verbal formats.5. Demonstrated organizational and time management skills including the ability to adapt to changing priorities, deal with multiple requests, high volume, and support multiple managers.6. Demonstrated ability to work effectively in a team environment and independently.7. Demonstrated ability to act in a professional manner when dealing with difficult situations and maintain confidentiality.
