We are currently seeking a qualified Administrative Assistant for our Markham, ON office. Candidate will either live in close proximity to our office or be willing to locate.
Opening and closing of front doors daily (morning and night)
Greet and assist any visitors attending TEAM
Answer and forward calls in a timely manner
Relay any messages in a timely manner
Forward faxes through email system, and any that are printed overnight
Responsible for fax/copier machines (placing maintenance calls, ordering supplies)
Processing of all incoming and outgoing mail daily
Processing of all incoming and outgoing courier packages
Maintain copy room -replenish/organize when supplies are delivered
Ordering of Stationary supplies
Catering
Employee safety boots/glasses logging and expenses
WSIB certificates
Create Purchase Orders for office supplies
Accounts Receivable: Follow up with customers on payment status when payment terms are exceeded and provide bi-weekly updates on problem A/R customers.
Meet with Controller at month end to review Aged A/R.
Oversee A/R collections as required
Cross trained for duties such as: General: Phones, Mail, Matching invoices to PO's, Closing POs in the companies system.
Process monthly credit card statements
Other duties as assigned
